What does an AI phone answering service actually do?

It answers the phone and holds a conversation. There is no menu, no press-one, no keyword the caller has to guess. The agent listens, answers, and completes a task before the caller hangs up.

The difference from a recorded message or a call-diversion service is that the agent can act during the call. It can check an order against your system, read back which appointment times are free, confirm who it is speaking to, and then explain the answer rather than reciting a record. After the call it sends whatever it committed to, such as a booking confirmation or a link.

There are limits, and they should be set deliberately rather than discovered by a customer. An agent will not negotiate, will not authorise a refund it has no rule for, and should not be asked to hold a call that has gone wrong. Those calls belong with a person, and the agent's job is to recognise them early and hand them over.

Why does an unanswered phone cost an Adelaide business money?

Nationally there were 2,729,648 actively trading businesses at 30 June 2025, with 437,150 businesses starting and 370,500 closing during that year (ABS, Counts of Australian Businesses, July 2021 to June 2025). Health care and social assistance was the fastest-growing industry in the count at 6.6 per cent, which matters in a city whose inbound call volume leans heavily on clinics and specialist practices.

We are not going to attach a percentage to what a missed call costs you, because there is no reliable published figure for it and a made-up one would be worse than none. The calculation that does hold up uses your own data: average job or order value, the proportion of new callers who convert, and the count of unanswered calls on last month's phone bill. The third number is usually the one nobody has looked at.

In Adelaide the pattern behind that number is predictable. Reception is a single seat in most practices and small firms, and it is occupied. The 4pm to 5pm block is when calls stack and the person on the desk is also closing the day. What is different about running this in Adelaide?

The half-hour offset is the detail that breaks scheduling software. Adelaide runs on ACST and ACDT, 30 minutes behind the eastern states, and every scheduling layer resolves against Australia/Adelaide rather than an approximation. Answering hours, booking windows, closed-line switching and transcript timestamps all land on real SA local time. An agent scheduled on AEST puts your last appointment slot half an hour the wrong side of closing.

The (08) prefix covers Adelaide, Port Adelaide and regional SA, and it is what a caller reads before dialling. A 1300 number on an Adelaide listing tells the caller they are about to reach somewhere else. How does a caller get through to a real person?

If nobody picks up, the call does not fall into voicemail. The agent takes the details itself and sends them on together with the transcript, so whoever returns the call already knows what was said.

Out-of-hours behaviour is configured as a schedule against Australia/Adelaide. You decide the open days and times, what the agent says once the line is closed, and whether a late call forwards to a mobile or is held as a message until morning. The closed message is spoken by the same voice as the daytime greeting, so the line does not change character at 6pm.

Anything the agent said it would send goes out by SMS at the end of the call: the confirmation and dispatch note on an order line, the appointment time for a clinic. This is the step that quietly does not happen when a person is taking messages at the end of a long shift.

Where is the call data kept?

Everything that is stored is stored in Australia. Transcripts, recordings, agent configuration, analytics and audit logs live in Postgres on AWS ap-southeast-2 in Sydney. The language model runs on AWS Bedrock in Sydney, which retains no prompts and trains on none of them. Voice compute runs on Fly.io in Sydney and WebRTC media stays in the Sydney region.

The audio path is now mostly onshore as well. Deepgram, which handles speech recognition, has had a Sydney address generally available since 17 June 2026, so what the caller says can be transcribed in Australia. Speech synthesis (Cartesia) and the phone carrier (Telnyx) remain United States vendors, named on our sub-processors page, reached over TLS and contractually prevented from training on what we send. Any provider claiming full Australian residency for a phone service should be asked which carrier it uses and where that carrier terminates the call.

Transcripts are redacted before they are written. Credit card numbers are masked with a Luhn check, along with Australian Tax File Numbers, Medicare numbers and US Social Security numbers. Retention is a per-workspace setting of 30, 90, 365 or 730 days, defaulting to 365, and a scheduled job deletes conversation messages and session events past that window every day.

What does it cost, and what does it replace?

The benchmark most Adelaide buyers use is a reception seat. Under the Clerks Private Sector Award 2020 (MA000002) the Level 1 Year 1 adult rate is $26.97 an hour, or $1,024.70 for a 38-hour week, operative 1 July 2026. That is $53,284.40 a year in base wages before superannuation, leave, recruitment and cover, and it buys you the phone answered during business hours only.

A conventional answering service is a fraction of that and is billed as a monthly plan plus a per-call or per-minute charge. We will not publish someone else's rates. Ask for the plan fee, the included allowance and the overage rate together, because the overage rate is what you will actually pay in the month your call volume spikes.

The model rate sits between A$0.20 and A$0.40 a minute depending on the model the agent runs, and voice and transcription surcharges are added to that, with the exact rate for your agent shown in your dashboard. No plan fee, no minimum, no contract. Adding a card gives you A$20 of credit before any billing starts. You are charged only while the agent is on a call, rounded up to the nearest minute with a one-minute minimum.

For a build beyond a straightforward answering setup, such as order intake wired into a warehouse system, the build itself is scoped and priced per engagement rather than from a list price.

Seven checks before you sign with an answering service

Every vendor demo sounds good, because the demo is the one call the vendor controls. These seven questions separate the products, and each one has an answer that is either written down or is not.

  • Ask for the sub-processor list, not the residency claim. If a provider will not tell you which speech and telephony vendors carry your callers' audio, it cannot tell you where that audio went.
  • Ask what a transfer passes across. A patched call with no context makes the caller repeat themselves, which is worse than being called back.
  • Ask whether the agent can read your live systems during a call, or whether it can only follow a script. A script fails the first caller asking about their own order.
  • Ask to hear the after-hours message, and check the schedule resolves against Australia/Adelaide including the half-hour offset.
  • Ask how each version is tested before it goes live. Grading against scenarios pulled from your own recordings is the only evidence that predicts your real call mix.
  • Ask for plan fee, included allowance, overage rate and billable-minute definition in one document, and whether hold time is billed.
  • Ask who can change the wording. If every copy change needs a support ticket, the line will be out of date within a quarter.
