What does an AI phone answering service do, and what does it not do?

The agent picks up the call, holds a spoken conversation, and finishes a task. It is not a phone tree and it is not a recorded message. There are no menu options to press and no keyword the caller has to say to move on. They talk, it answers.

Inside the call the agent reads your systems live. It can look up an order, check which appointment slots are free, confirm an account, then say the answer in plain language rather than reading a field back. When the call ends it does the follow-up it promised, such as sending the confirmation text.

What it does not do is worth being equally clear about. It does not replace the calls that need judgement, negotiation, or an apology from someone with authority, and it will not improvise a price it has not been given. It is scoped to the calls your business actually takes, and it hands over the rest.

What matters for a Perth business specifically?

Local numbers come first. Perth, Fremantle, Mandurah, Bunbury, Geraldton and Kalgoorlie all sit under (08). Callers read the prefix before they dial, and a 1300 number on a WA trades listing reads as an interstate call centre. Several (08) numbers can point at one agent, so a multi-site or FIFO operation gives every site a local pickup number without running several agents.

Hours resolve against Australia/Perth, not AEST. Answering hours, the closed-line message, booking windows and transcript timestamps all use AWST. That sounds obvious until an east-coast provider schedules your line on its own clock and you lose the last two hours of every working day.

Latency is 58 milliseconds each way to the Sydney region, because there is no AWS region in Perth. On a voice call that is below what anyone hears, the audio path buffers several times that in ordinary operation. It matters for exactly one reason: you do not have to accept an offshore region to get a call that feels normal.

How does the handoff to a real person work?

Warm transfer is the main path. The agent dials a nominated number mid-call and puts the caller through. What it carries over is the part that usually gets lost: who is calling, on what number, and what they rang about, so whoever picks up does not restart the conversation from the greeting.

When nobody is free, the agent takes the message instead of dropping the caller into voicemail. You get the details and the transcript together, so the callback starts from what was said rather than from a name and a number on a pad.

After hours is a schedule, not a switch. You set which days and times the line is open, what the agent says when it is closed, and whether an out-of-hours call forwards to a mobile or is captured as a message. The closed-line message is spoken in the agent's own voice, so a caller at 11pm hears the same voice as a caller at 11am.

Anything promised on the call goes out by SMS when the call ends: a confirmation, a booking time, a link. That step is the one that most often does not happen when a person takes a message at the end of a long day.

Where does the call data live?

The parts that persist are hosted in Australia. Transcripts, recordings, agent configuration, analytics and audit logs sit in Postgres on AWS ap-southeast-2 in Sydney. Model inference runs on AWS Bedrock in Sydney, which does not retain prompts or train on them. Voice compute runs on Fly.io in Sydney, and WebRTC media is Sydney-region.

Speech recognition can stay in Australia too. Deepgram, which transcribes the caller, has had a Sydney address generally available since 17 June 2026. What remains offshore is speech synthesis (Cartesia) and the phone carrier (Telnyx), both United States vendors named on our sub-processors page, reached over TLS and contractually barred from training on what we send. We name them because a residency claim that omits the carrier is not a residency claim.

Before a transcript is written it passes a redactor that masks credit card numbers with a Luhn check, Australian Tax File Numbers, Medicare numbers and US Social Security numbers. Retention is set per workspace at 30, 90, 365 or 730 days, defaulting to 365, and a scheduled job purges anything past that window daily.

What does an AI answering service replace, and what does it cost?

Start with what it stands next to. A full-time receptionist at the award floor is not a small line item. The Clerks Private Sector Award 2020 (MA000002) sets the Level 1 Year 1 adult rate at $26.97 an hour, or $1,024.70 for a 38-hour week, from 1 July 2026. Across a year that is $53,284.40 in base wages before superannuation, leave, recruitment, or cover for the hours nobody is at the desk.

A traditional answering service costs less than that and is normally billed per call or per minute against a monthly plan. We will not quote a competitor's rate card. Ask for theirs in writing, and read what a call costs once the included allowance runs out, because the overage rate is where these contracts differ most.

Our own pricing is published and per-minute. Agents start from A$0.25 a minute of connected call time. The model rate runs from A$0.20 to A$0.40 a minute depending on which model the agent uses, with voice and transcription surcharges on top, and your dashboard shows the exact rate. There is no plan fee, no minimum and no contract, and adding a card gives you A$20 of credit first. Billing runs only while the agent is on a call, rounded up to the nearest minute with a one-minute minimum.

The number that usually decides it is not the per-minute rate. It is whether the calls currently going unanswered are worth more than the minutes it would take to answer them.

How do you choose an AI answering service? Seven checks

Every provider will tell you the agent sounds natural. That is not what separates them. These seven questions are, and each has an answer a vendor can either put in writing or cannot.

  • Ask for the sub-processor list, not the marketing sentence. A provider that will not name its speech and telephony vendors cannot tell you where your callers' audio went.
  • Ask what a transfer actually hands over. A transfer that drops the caller into a cold queue with no context is worse for them than a message.
  • Ask whether the agent reads your systems during the call. One that can only recite a script fails the first caller who asks about their own booking.
  • Ask what happens outside answering hours, and listen to the closed-line message before you sign.
  • Ask how the agent is tested. Grading each version against scenarios drawn from your own recordings is the only test that predicts your real call mix.
  • Ask for the rate in writing: the overage rate, what counts as a billable minute, and whether hold time is billed.
  • Ask whether you can change what the agent says without raising a support ticket. If every wording change is a request, the agent drifts out of date within a quarter.
